Holding an event – whether you are in the events business or you are just running a one-off for your company – requires a lot of careful work and consideration. Here are some of the things that you need to think about in the run-up to the event.

Health and Safety

You need to go over the health and safety of the venue to ensure that it is going to be as safe as possible for those who are going to be visiting. There is too much at stake here for you to let things slide – you need to know how to react in certain circumstances. Even if this is a venue that your company owns, you need to make sure that you and your staff know how to keep everyone safe during the event.

As a result, it might be a good idea for you to send your staff to event courses or another day where they can learn how to deal with potential health and safety issues. If everyone knows the proper protocols for health and safety, the event should be able to go ahead more smoothly.

Brief Your Team

It is very important that you sit down with your team before the event and brief them on what is going to be happening. If there is a schedule of different things then circulate a copy of the itinerary and make sure that they all understand it. For example, if there is going to be a toast, they should make sure that all guests have a drink of some sort in the minutes beforehand.

Little details like this are key in making an event the best it can possibly be. Having knowledgeable and attentive staff is always something that goes over well, so make sure you do everything in your power to prepare them for what lies ahead.

Double-Check with Suppliers

If you are having anything delivered for the event, make sure you double-check with suppliers and confirm that you are on track to receive your order. Having something go missing can really cause things to unravel quickly.

By double-checking everything and ensuring that you are on track to receive what you need, you can be confident that things will go ahead as planned. However, always make sure you know where you can get something in an emergency if needs be – you never know when something can go wrong and you need to find a replacement ASAP!

Running an event is going to be stressful, and you need to make sure that you have everything you need to get things underway. Take the time to properly plan and organise the event and do not leave everything to the last moment. The more you are able to set up and coordinate with your staff, the easier it will be to rectify something if it does go wrong. Before you know it, the event could be over and everyone can be heading home satisfied!
